Ministry Overview

The Project Services team is passionate about supporting missions and outreach to equip participants and staff to take Jesus around the world. This department is crucial to the advancement of God’s Kingdom and the P2C mission. As a result, this person must have a desire to serve, an eye for detail, and multitasking skills.

About the Role

The Project Services Coordinator has a unique opportunity to help impact the sending culture of Power to Change. They will equip and support staff and volunteers seeking to participate in or lead mission trips.

They will function in multiple administrative capacities, including data collection, mission trip administration, and management of internal systems and processes.  They will liaise with external vendors relating to mission trip preparations.  They will address functional needs such as flight bookings, visa research, and application website support (PAT) with the ultimate goal of seeing the mission trips – staff and volunteers – fully supported with the services and resources they need to effectively prepare for and participate on mission trips.

This solution-oriented individual will work closely with the Project Services Manager and ministry-specific sending teams to ensure the missions trips are sent out successfully.

In this role, you will be responsible to achieve the following:

  • Oversee and coordinate the sending and receiving of mission trips by ensuring staff are equipped with the right tools and resources and participants/volunteers are equipped/prepared to participate on their trip

  • Liaison with Ministries for their unique needs for the mission trips

  • Ensure general inquiries to Project Services email inbox and the phone line are responded to in a timely and professional manner

  • Assist in managing Egencia account; assist staff to resolve issues using Egencia; adjudicate complaints re Egencia and resolve issues 

  • Support mission trip travel with ticket purchasing, visa research, train staff to understand and mitigate risks

  • Project Service Application Tool (PAT) development and maintenance 

  • Manage mission trip Insurance account 

  • Liaise with Partner Care Team and mission trip support raising 

  • Complete monthly reconciliations of various expense accounts including corporate credit cards, and other transfers to ensure it is done accurately and in a timely way

  • Identify gaps and opportunities for improvement and implement processes/systems/tools

  • Work with Project Services Manager to review and adapt policies and/or procedures as necessary that protect the organization and  those traveling

  • Other duties as assigned by the Project Services Manager

Other Responsibilities

  • Active participation in weekly chapel services and other ministry prayer / bible study times. 

  • Attendance and participation in the bi-annual International Day of Prayer.

  • Attendance and participation in the bi-annual Staff Conference

  • Special projects as assigned by Project Services Manager

Education and Experience (what is needed for the role):

  • BA or equivalent plus 2+ years of office experience or an equivalent combination of education and experience.

  • International Mission Trip Experience (participant on a Mission Trip)

  • International Field Ministry Experience is an asset

  • You are proficient in Google Workplace

  • You have at least 2-3 years of administrative skills experienced, are personally organized, and a good steward of time

  • You have a willingness and desire to learn new productivity systems and registration and database software (PAT)

  • You have a basic understanding of accounting  (an asset)

  • You have experience in the travel industry (an asset)

Funding

This position requires Ministry Partner Development. The successful candidate will have the privilege to build a partnership team which provides financial and prayer support for the ministry. The financial support will cover the costs of the candidate’s salary and ministry expenses. Power to Change believes that Ministry Partner Development is biblical and God will provide everything necessary to fulfill the calling into ministry: finances, emotional strength and perseverance.
